CS Yacht Owners West - Operating Plan (Revised 2013)

  1. CS Yacht Owners West

    CS Yacht Owners West (known generally as CS West) is an association of, primarily, Pacific Northwest boaters who race and/or cruise CS (originally, "Canadian Sailcraft") sailboats (27, 30, 33, 34, 36T, 36M and 40) and who wish to participate in the benefits of an association of boat owners with similar interests. CS West also extends membership to owners of the Quanta, a 28ft. sailboat designed by Ray Wall (designer of the CS 27, 33 and 36T) that is similar in many ways to CS boats. Membership is also extended to past CS and Quanta boat owners.

  2. Mission Statement

    The mission of CS West is to:

    •   Promote support and friendship among members

    •   Provide a source of technical advice for CS boaters generally

    •   Obtain benefits-from-numbers, e.g. fleet insurance on preferred terms, chandlery

      discounts, etc., for members

  3. Goals and Objectives:

    This year:

    •   Actively promote member participation in association events

    •   Arrange discounts for bulk purchases of big ticket items

    •   Hold the Spring Rendezvous in Ganges ; Fall Rendezvous at Thetis Island; Fall Meeting

      at Sidney North Saanich Yacht Club Over five years:

       Respond to range of activities as determined by membership  Increase the potential benefits to members.

      4. Considerations:

      Membership:




 


Typically, 85 paid-up members. Membership distribution: Vancouver/ Sunshine Coast area : 39 ; Vancouver Island/Gulf Islands : 33 ; United States : 7 ;Other (Alberta, B.C. Interior, Ottawa) 10

Maximum active membership constrained to the approximately 120 CS and about 10 Quanta boats in the Pacific Northwest area
Membership is extended to past CS West members no longer owning CS or Quanta boats.


Financial:

  •   Want to remain low-cost to members

  •   Events should be largely self-financing, with only nominal subsidization by the

    association. It was determined that rendezvous would be subsidized and land based

    meetings would not as the cost for boaters includes moorage.

  •   From time to time to make contributions to groups to support sailing/marine related

    activities such as marine parents or sail training for youth. Amount to be recommended by executive and approved by membership.

    Relationship with CSOA/CSYOA:
     No formal relationship with CSOA

     CS West web site and CS Yacht Owners Associations (CSYOA) website inter-linked

    5. Activities:

    Annual program:

  •   Two organized, major rendezvous (Ganges on May long weekend and Telegraph Harbour in late September/early October)

  •   Three mini-rendezvous (Clam Bay, Squirrel Cove, Montague Harbour)

  •   Two winter meetings (Vancouver in February and Sidney in November)

  •   Annual General Meeting held during the May Rendezvous

    Locations are selected to maximize attendance; facilities need to be booked twelve months in advance.

    May Rendezvous
    This event is set as 3 days although some boaters arrive on Saturday or leave on Sunday:

     Friday “happy hour”
     Saturday morning Saltspring Market
     Saturday afternoon Technical Seminar
     Saturday Crab fest dinner
     Sunday morning AGM & Raffle
     Local walk
     Sunday evening dinner at local restaurant
     Monday morning departure for most boaters

    September Rendezvous This event is set as 2 days

     Friday night “happy hour” with organized boat hop for socializing
     Saturday morning breakfast prepared by executive and funded by club  Saturday morning walk followed by afternoon bocce tournament
     Saturday afternoon Technical Seminar
     Saturday evening dinner at marina pavilion
     Sunday morning coffee and cinnamon buns and departure



Winter meetings:

  •   Members meeting in November at the Sidney North Saanich Yacht Club, and historically in February in conjunction with the Vancouver Boat Show at the Royal Vancouver Yacht Club. As a result of membership feedback the February meeting was moved to April in 2013 and held at West Vancouver Yacht Club. Costs and logistics in Vancouver are becoming increasingly prohibitive. This issue will be presented to the membership at 2013 AGM for a decision as to the future of the Vancouver based meeting.

  •   Dinner at local yacht club, with a guest speaker

  •   Door prizes

    Mini-rendezvous:
     Gathering of boats at a designated anchorage.  Activities left to discretion of participants

    6. Communications:

    Newsletter:

  •   Published four times a year.

  •   Format includes detailed coverage and pictures of recent association events, introduction

    of upcoming events, and articles of general interest to members.

    Web site:
    Dynamic web site (www.cswest.ca) including:

     Boat-to-member and member-to-boat cross references
     On-line membership application
     On-line editing of boat upgrade/modification data by members
     On-line reservation of attendance at events
     Self-serve advertising service for members
     Calendar of upcoming events
     Newsletter archive
     Library of technical articles
     Lists of chandleries and companies supporting CS West
     Membership confirmation capability
     Links to web sites of interest to CS West boaters
     Members-only areas password-secured and available only to members in good-standing.

    CS West “all-member” e-mail:

     E-mail distribution list to all members (hosted at UBC: cs-west@interchange.ubc.ca )  Similar capability provided on the website
     Primary communication medium for executives to members
     Use by members limited to communications increasing awareness on CS West issues.



Publicity:

 Rendezvous announcements also published in Pacific Yachting, 48 North, Yachting and other West Coast boating magazines and websites.

7. Executive Committee:

Executive Committee appointment and operation:

 Elected by the members at the Annual General Meeting
 Term - minimum one year, longer at the pleasure of the members  Plans and oversees the association’s annual program
 Meets at least four times per year, usually before major events
 Annually reviews Operating Plan and updates as necessary

Executive Committee positions:
 Commodore
 Vice Commodore/ Activities Director  Membership Director
 Treasurer
 Communications Director
 Technical Director
 Raffle Director

One person may hold two or more executive positions.
  • 8. Budget/Finances:

    Expenses:

     About $5,000 annually
     Main expenses are raffles, events, room booking, burgees, and printing.



Revenue:
 About $5,000 annually

 Sources of revenue are membership fees ($30), burgee sales, event fees and raffles.

Assets:
 Mast rigging tension gauge,  VHF radio tester,
 Crab boiler,
 Portable rain shelter,
 CS 33 engine skid

Banking:

 Target is to maintain the bank balance at around $3,000.
 Two signatures are required on all cheques.
 The treasurer and two other executives, have cheque-signing authority.

Tax:
 Not a registered society. No tax issues.

9. Privacy Policy:

Adhere to the Privacy Policy attached as Annex A.
